Refund Policy

The World Bear Weekend planning committee makes financial decisions based on registrations and the timeliness of money deposited into our event account. We realize events happen in each person’s life that can cause a sudden change in plans to attend the event.  We also realize there are other pandemic & virus fears facing each of us. Below are the refund policy guidelines to which our event staff will follow:

Payment Card Processing
Accepted Cards:  World Bear Weekend accepts VISA, MasterCard, Discover, and American Express branded credit, debit, or check cards. Cash is accepted in person only.  Money orders and cashier’s checks will be accepted in most instances.  Personal checks will only be accepted up to 30 days before the event begins to allow time for payment to clear.

Refund Policy:  Most refunds will be subject to a $25.00 administration fee. No refund request will be processed if the item has not settled. Refunds will be processed within 7-10 business days of receipt of written request for refund (email or postal service). Refunds will be made to the original payment mechanism unless noted otherwise below.

Event Fees:

Attendee fees will be refunded per the following schedule:

  • Request received 30-365 days prior to the event: 100% refund minus administration fee
  • Requests made within 30 days of the event start date will NOT receive a refund. We *can* roll your registration to next year’s event.
  • Unless the event happens to cancel due to a pandemic or state of emergency, there will be no refunds given within 30 days of the event due to funds being committed to the hotel & other contractors to make the event happen successfully.

Vendor Fees will be refunded per the following schedule:

  • Request received 30-365 days prior to the event: 100% refund minus administration fee
  • Requests made within 30 days of the event start date will NOT receive a refund. 
  • Unless the event happens to cancel due to a pandemic or state of emergency, there will be no refunds given within 30 days of the event due to funds being committed to the hotel & other contractors to make the event happen successfully.

Sponsorship Monies will be refunded per the following schedule:

  • Request received prior to 90 days of the start of the event: 50% refund
  • Request received within 90 days of the start of the event: no refund will be made available

Donations

Donations will only be refunded prior to public announcement of the gross donation to a beneficiary. Once public announcement has been made, no refund of donations will be processed. Refunds of donations are subject to administrative fees.

Miscellaneous Items

Items purchased from World Bear Weekend will be refunded within 30 days of receipt of the item. Item must be received in original, unused quality to be eligible for refund. Refunds will be made to the original payment mechanism and are subject to administrative fees.
